QR ordering is one of the few restaurant technologies people have strong feelings about in both directions. Operators like it because it takes order entry off the payroll. A large share of guests, on the evidence, do not like it at all. Both are true at once, and any guide that tells you only the first half is selling you something.
We build QR ordering — it is the core of what Shareabill does — so weigh the recommendations here accordingly. What follows is the setup that works, then the part vendors leave out. It is a companion to our pillar guide, Opening a Restaurant in Dubai: The Technology Decisions.
What a QR code actually encodes, and why per-table matters
A QR code is a URL and nothing more. No app, no account, no data hiding inside the square — scanning it opens a web page in the phone's browser.
What makes it ordering rather than a menu-viewer is that the URL identifies
one table. Shareabill's cards encode
https://web.shareabill.app/{location_id}/{table_id} — the venue, then the
table's internal id. That one fact carries a lot of weight:
- The kitchen ticket knows where the food goes without anyone typing it.
- A second guest scanning the same code joins the same open bill instead of starting a new one.
- The waiter's floor view shows which tables are seated and ordering.
- Payment, split bills and the receipt all attach to the right table.
One code per venue — a single "menu" QR on a poster — gives you none of that. It gives you a digital menu, which is a different and much smaller product. If a vendor offers a single code for the whole restaurant, they are selling menu hosting, not ordering.
Note: Shareabill's codes carry the table's internal id, not the number printed on the card. Renaming table 12 to table 14 in the floor plan does not invalidate its code. Physically moving a card from one table to another does — the code follows the record, not the furniture.
Setting it up, in order
1. Build the floor plan before you print anything. Tables, sections and numbering live in the admin dashboard, and every code is generated against a table record. Get the numbering right now, matching what staff already call the tables out loud, because reprinting is the annoying part.
2. Generate the codes. Shareabill produces an A6 portrait card per table carrying the venue's brand colours, a large table number and the code, and can zip every card for a location in one download. Codes are generated at the highest of the four error-correction levels defined in the QR standard, ISO/IEC 18004 — the level that tolerates the most physical damage before it stops decoding, which matters more than it sounds on furniture where people eat.
3. Choose the physical format for the room, not the photo. The three that survive: laminated or acrylic-blocked table tents, a code printed into the menu itself, and a small acrylic plaque fixed to the table. Outdoor terraces and poolside are the hard case — direct Gulf summer sun fades inkjet output fast, and condensation from cold glasses gets under cheap lamination. Use acrylic or engraved metal outdoors. Whatever you pick, leave a clear border around the code: the quiet zone is part of the symbol, and a design that crops it produces a card that photographs beautifully and scans intermittently.
4. Test every single code before you open, on a real phone. Not a sample — every one. The failure mode is not "the code doesn't scan"; you would notice that. It is a code that scans perfectly and resolves to the wrong table, sending table 9's order to table 6, invisible until food reaches the wrong guest mid-service. Walk the floor, scan each card, confirm the table number the app shows matches the card. Repeat after any floor rearrangement.
5. Print spares. Assume a code gets damaged, stolen or soaked in the first month. Keep replacements on hand and the generated zip somewhere your manager can reach without calling you.
6. Watch for tampering. The FTC has documented scammers covering legitimate QR codes with their own stickers to redirect payments. The pattern started on parking meters and nothing about a restaurant table makes it immune. Make "check the codes" part of the opening walk-through: a sticker sitting on top of a printed code is what to look for.
Shared tables, split bills and where payment fits
The moment two people scan the same table you have a shared bill, and this is where most QR implementations get thin. Shareabill splits a bill equally, by items, or by percentage, each guest paying their share from their own phone. Payment is card via PayRow, or cash accepted by staff at the POS — the bill closes either way.
Two UAE-specific things belong in the setup.
Prices on the digital menu must be VAT-inclusive. Article 38 of Federal Decree-Law No. 8 of 2017, read with Article 27(1) of the Executive Regulation, requires advertised and displayed prices to be inclusive of VAT, a rule the FTA has applied specifically to food menus. Configure the menu so the number the guest taps is the number they pay, with 5% VAT inside it and broken out on the receipt.
Get the receipt type right. A simplified tax invoice may be issued to any
recipient who is not VAT-registered, with
no value ceiling;
the AED 10,000 figure people quote applies only where the recipient is
VAT-registered — the full breakdown is in
VAT, TRN and invoicing for UAE restaurants. It still has to carry the words "Tax Invoice" and the
supplier's TRN. Shareabill's tax_invoice setting is on by default and
configurable per location, and applies to both thermal and PDF receipts. No
vendor can claim FTA certification for any of this, because the Federal Tax
Authority does not certify POS systems — compliance stays yours.
Where QR ordering is the wrong choice
This is the section to read twice.
Where table service is the product. In fine dining, at a chef's counter, or on a tasting menu, the ordering conversation is not overhead — it is a substantial part of what the guest is paying for. Removing it removes the product. Industry commentators have made this point repeatedly: at venues where a server asks whether it is your first time dining with them, the operational benefits of a QR menu have to be weighed against what it does to the experience, and that trade often does not come out in the QR's favour.
Where your guests do not want it. This is not a marginal objection. The US Foods 2024 Diner Dispatch survey — 1,005 US respondents, fielded April 2024 — found 90% of diners preferring printed menus to QR codes, up from 74% the year before, with 95% of baby boomers and — notably — 90% of Gen Z saying the same. It is a US sample and the UAE guest mix is different, but the direction of travel is unambiguous and it is against the technology. Plan for guests who will not scan, and stop treating them as an edge case.
Where the uplift numbers are doing the persuading. You will be shown figures — 12%, 20%, 30% higher average order value; faster table turn. We went looking for the primary sources behind the commonly quoted ones and could not find them: they circulate between vendor blogs, each citing the last, and the trail either stops or ends at a paywalled industry report that does not say what the blog says it says. We are a QR ordering vendor and we are telling you not to believe QR ordering vendors' uplift statistics, including any we might be tempted to publish. If a supplier quotes you a number, ask for the study, the sample and the date. Model your business case on labour hours you can actually name, not on a percentage nobody can source.
Where connectivity is not solid. Shareabill has no offline mode. The guest app, the web app and the POS all talk to a hosted backend over the internet. If your wifi drops or the mobile signal in your basement unit is dead, ordering and payment stop until it comes back — there is no local cache that keeps taking orders. The UAE is a favourable environment for this bet: internet penetration reached 99.0% at the end of 2025. But national averages do not help you in a specific concrete basement. Before you commit, stand in the worst corner of your dining room, on the network your guests will use, at the hour you are busiest. If it is marginal there, either fix the network — a fibre line plus a 5G failover router — or choose a POS with offline caching instead. Do not let anyone, including us, talk you past this.
Where it changes the job rather than removing it. QR ordering does not delete the waiter. It moves them from order-taker to floor manager — running food, reading tables, upselling in person, handling everything the app cannot. If you do not retrain for that, what you get is not efficiency but staff standing around while guests wait to be noticed. Budget training time for the new job, not just the new software.
What QR ordering does not replace
- Staff. Fewer order-entry minutes, same headcount for hospitality at most service levels.
- A payment provider. The QR is a front door; card processing still needs an acquirer and a merchant account.
- Kitchen routing. Orders still have to reach the right printer or screen, and that configuration is real work — see our 90-day restaurant tech checklist.
- A way to order without a phone. Flat battery, no smartphone, no data, or simply unwilling. Staff take it on the POS. Train for it explicitly.

Where QR ordering genuinely wins in the UAE
Two things about this market strengthen the case. Dubai received 19.59 million international overnight visitors in 2025, so a large fraction of the people at your tables do not read your menu's default language. A digital menu serves Arabic with proper right-to-left layout alongside eight other languages from the same records; a printed one cannot, at any sane cost. And the maintenance economics invert. An item that runs out is switched off in the dashboard and disappears from every table's menu in seconds — no reprint, no crossed-out line, no waiter apologising after the order. Price changes, seasonal items and allergen updates land the same way. That is the benefit we would put money behind, and it needs no statistic to justify.
Costs, plainly
Shareabill charges a guest processing fee of 5% plus 5% VAT on the gross items total, and a location fee of 1% plus 5% VAT per payout. Takeaway orders carry no guest processing fee. There is no per-terminal licence and no setup charge — but this is not free. The cost scales with what you sell, which suits a new venue and costs more than a flat licence at volume. Model it against your expected covers before signing anything, ours included.
